Our process begins with a conversation – by phone, email, or video call – where we learn about your travel interests, preferred destinations, budget, travel dates, and any specific experiences in mind. From that, our specialist team designs a fully customized itinerary with detailed accommodation options, a day-by-day programme, and a transparent cost breakdown. Once you approve the proposal and pay a deposit, we handle every detail: lodge and hotel bookings, internal flights, transfers, park entry permits, gorilla trekking permits, and visa documentation guidance. You receive comprehensive pre-trip briefings and on-the-ground support throughout.
Yes, absolutely! Even though we have shown itineraries on our website as a guide, a fully customized trip is the foundation of what we do. We have no fixed group departures and no off-the-shelf packages. Every itinerary is built from scratch around your travel dates, specific interests, pace preferences, budget, and individual requests. Are you passionate about wildlife photography? We time game drives for optimal light and can pair you with specialist guides. Travelling for a honeymoon? We can build in private moments and exclusive experiences. Interested in a specific cultural festival? We design the entire itinerary around it. Whatever your vision is, we work to exceed it.
A 25% per person deposit is required to confirm your booking, along with a completed Tour Reservation Form and a copy of your passport.
Once received, your itinerary and all travel arrangements are formally confirmed, and we begin securing accommodations, internal flights, permits, and other services.
The remaining balance is due 90 days before departure, with all payment terms clearly outlined in your booking agreement prior to confirmation.
Cancellation charges at Immersion Journeys are based on the payment policies of our suppliers – lodges, permits, and internal flight operators – and are expressed as a percentage of your total trip cost (excluding international airfare). Charges increase the closer to departure a cancellation occurs, and a no-show (failure to join the tour on the departure date) is treated as a full cancellation. International airfare cancellations are governed by the airline’s own policy, which may be separate. All specific cancellation terms are clearly outlined in your booking agreement. We strongly recommend purchasing comprehensive travel insurance to cover cancellation for covered reasons.

Travel insurance is strongly recommended for all Immersion Journeys tours, and in some cases may be required depending on the destination or specific activities included in your itinerary.
We recommend policies that cover trip cancellation and interruption, emergency medical expenses, medical evacuation (particularly for remote safari and trekking destinations), lost or delayed luggage, and personal liability.
For activities such as gorilla trekking or Himalayan trekking, it is important to ensure your policy specifically includes adequate adventure and high-altitude coverage.
Immersion Journeys strongly advises arranging insurance at the time of booking so that your deposit and pre-trip costs are fully protected.

Most cultural and safari itineraries require only light walking. Gorilla trekking in Rwanda and Uganda and hikes such as Bhutan’s Tiger’s Nest require moderate fitness, while Himalayan trekking in Nepal requires higher endurance.
We provide clear pre-trip guidance for every itinerary and can tailor experiences to suit individual fitness levels where possible.
Yes. Please inform us of any dietary requirements – vegetarian, vegan, gluten-free, lactose-free, allergies, halal, kosher, or any other restrictions – at the time of booking. We communicate these requirements clearly in advance to all lodges, hotels, and restaurants across your itinerary. Luxury properties in Africa and South Asia are accustomed to accommodating a broad range of dietary needs, and our advance preparation ensures your requirements are met without compromise throughout the journey.
Immersion Journeys typically does not arrange international airfare directly, as most clients prefer to book long-haul flights independently or through their preferred airline or travel agent.
However, we work with a trusted third-party flight specialist who can assist with international routing and ticketing if required.
We do, however, fully manage all in-country logistics, including internal flights between destinations, ground transportation, private transfers, lodge and hotel bookings, permits, and on-the-ground coordination.
All domestic and regional flights within your itinerary, such as light aircraft transfers between safari camps in Botswana or internal flights in India, are arranged seamlessly as part of your Immersion Journeys tour.
